I think we speak for everyone when we say, the last few months have taught us a lot about ourselves, our impact in our community, and how to adapt to change. COVID-19 created what ‘Time’ magazine called “the world’s largest work-from-home experiment.” It has taught businesses who were once unsupportive of remote work that a large percentage, if not all, of their processes can be just as efficient and profitable off-site.
Here at Altek, we’ve been focusing on the what we can do to help our customers evolve during challenging times. We also thought this would be a great opportunity to talk about our experiences and share how we stay resilient.

Thanks to the implementation of Microsoft Teams, all our departments have continued to operate as they were when we were in the office. There are many options for video chat services, such as Zoom, GoToMeeting, and Google Hangout. Microsoft Teams allows you to schedule meetings directly in your Outlook Calendar, which syncs across all devices. You can maintain conversations within groups outside of the video chats, easily share files and information, add applications such as polling with SurveyMonkey, and much more! Teams has allowed us to stay connected, hold meetings and trainings, and continue to be effective and efficient in our business.

Unified Communications refers to Voice over Internet Protocol that integrates virtual Customer Relationship Management, emails, video, Business SMS texting, SalesForce integration, analytical reports, and more.
As a Voice over Internet Protocol provider, we are also a VoIP customer. Altek’s phone system includes over 30 extensions and a number of groups, including service groups. When we transitioned to working from home, we needed to ensure all groups were still available. And when our customers call, they speak to the same team member they would have received if calling into our office.
Here’s how we did it:
Step 1: We unplugged our phones from our office.
Step 2: We plugged them in at home.
Step 3: … That’s it! They kept working just like they had when they were at the office.

In the past, before adopting Electronic Document Management System (EDMS), our sales process involved numerous people, several checkpoints, and way too much paper. This process left orders sitting on peoples’ desks, potential confusion, and delays in processing. If this had been the process when COVID-19 occurred, we would have been unable to process sales orders all together!
Fortunately, we created a secure and efficient document workflow that evaluated who needed to be involved every step of the way.
Now, we submit the sales order electronically. Our Director immediately gets an email to accept or deny the paperwork. If he denies, it stamps the paperwork and sent back to the Sales Rep with notes stating the necessary revisions. Once accepted, an email goes directly to our Admin Department, where the paperwork is processed. Once completed, our Contracts Department receives an alert saying it is processed. Finally, everyone involved receives an email stating the new equipment has been installed, providing details specific to each team member. This is then securely stored, able to be retrieved in a number of different fields – company name, date, equipment, order number, purchase order #, document type, or even a full text search. This seamless automation has made a significant impact on our productivity, not to mention our overall happiness.
