There are many great reasons why businesses should use SharePoint versus the other file-sharing applications: DropBox, Google Drive, OneDrive, Box, etc. The best reason is that it works directly with Microsoft Suite of programs (Word, Excel, PowerPoint). This allows multiple users to edit the same document or spreadsheet in concert. You will see every user that is in the same document listed in the taskbar and their initials will appear on the text or cell that they are working on. Users can be in different locations, and everything will be updated in real-time.
Version and revision history is automatically updated by Microsoft and can be seen at the document and file level. Simply select review / show changes for all file changes. The file level shows version history and allows you to restore prior versions.
Using SharePoint libraries will eliminate the “Which is the current version?” problem. It also eliminates the “I can’t work because someone else is using the document”. And reduces storage when multiple copies are not stored in different locations.
SharePoint is included with M365 business licenses with 1 TB of storage, at no additional cost. The best practice is to set up separate top-level directories for business departments or functions. An example would be AP, HR, Sales, Marketing, etc. The top-level directories are called libraries and you can set what type of access each user can have to a library (full, read-only, none, etc). The access is set with your Microsoft account, so it is very easy to administer.
